Workspace Review Enhancements: Improved Site & Team Maintenance

We recently introduced our Workspace Review feature to automate the task of recalibrating SharePoint sites and Teams that have gone astray. And we're happy to report that for many of our customers, it was just what the doctor ordered. 

As much as Workspace Review simplified typically onerous work, we knew there was more to do to make its remediation capabilities even more powerful. So today, we're rolling out four new enhancements that will help you cover even more ground as you work to keep your collaboration workspaces in their optimal state.

Sensitivity Labels

Microsoft Purview Sensitivity Labels are incredibly valuable for protecting data. But with most Microsoft 365 management tools, they’re only applied during provisioning and rarely revisited. That kind of static enforcement doesn’t keep up with evolving compliance needs.

Whether labeling requirements change or labels are misapplied, altered, or removed, organizations need ongoing visibility and control.

Workspace Review now gives you the ability to:

  • View sensitivity metadata for sites and teams during reviews 
  • Filter dashboards by label type 
  • Apply or escalate sensitivity labels based on current conditions

This enhancement moves labeling from a one-time event to continuous monitoring, enforcement, and realignment.

Workspace Privacy

One of the most common and risky configuration mistakes is changing a site’s privacy setting from private to public. Because it takes just a click, these accidental changes happen more often than you’d think—and the fallout can be significant.

That simple toggle can make sensitive content visible tenant-wide, unintentionally exposing data in Microsoft Search and Copilot responses.

To address this, Workspace Review now allows you to:

  • Detect and review privacy settings during scheduled reviews 
  • Prompt workspace owners to confirm whether privacy classifications are correct 
  • Change privacy settings instantly, right within the review

This makes it fast and easy to catch and correct privacy issues before they become threats.

Search & Copilot Visibility

With so much content living in your Microsoft 365 environment, search visibility plays a huge role in both productivity and risk. Microsoft Search helps users find information quickly—but it can also surface content they shouldn’t have access to. At the same time, older or misconfigured sites may be excluded from search entirely, hurting user experience and reducing the value of Copilot.

Workspace Review now includes visibility into search indexing so you can:

  • See whether a workspace is included in Microsoft Search and Copilot 
  • Update indexing settings directly during reviews 
  • Fix misconfigurations without switching tools or setting up reminders

This makes search visibility part of routine maintenance, improving both access control and discoverability.

Sharing Links

For all the visibility Workspace Review provides into workspace metadata and configuration, one layer of access has remained hidden: sharing links. These links—especially "Anyone" or "Organization" types—often persist long after they’re needed, opening up access paths that no one is actively monitoring.

Until now, cleaning them up meant digging through reports, writing PowerShell scripts, or just guessing.

With the new Sharing Links enhancement, you can:

  • View all sharing links across sites and teams directly within Workspace Review 
  • Flag links based on custom guardrails or risk profiles 
  • Allow owners to delete unnecessary links instantly from the review interface 

No more switching between tools, running scripts, or waiting on central IT. This is the easiest way to eliminate hidden risks from link-based oversharing.

Recommend Archival (Coming Soon)

While every site and team has its own lifecycle, managing thousands of them often requires automated, inactivity-based archiving policies. But that approach has limits. Minor activity can keep stale sites active, while completed projects may sit idle for months before the policy catches up.

Sometimes, owners just need a quick way to say, “this workspace is no longer needed.”

That’s exactly what Recommend Archival will enable:

  • Prompt workspace owners to confirm whether a site or team is still needed 
  • Let them recommend or trigger archival directly from the review

This improves the health of your tenant by helping eliminate stale workspaces faster, reducing storage costs and increasing governance speed.

There's More Where That Came From

Workspace Review has already become an essential tool for many Orchestry customers. These latest enhancements make it even more effective, but we’re not stopping here.
