SharePoint and Microsoft Teams Provisioning in 5 easy steps

Microsoft Teams is becoming an increasingly popular collaboration and communication tool across organizations striving for a fully digital workspace environment.

 

Let’s be honest, Microsoft Teams and Microsoft 365 tools are not the easiest to use. Unless you have completed formal Microsoft 365 training, you are likely confused half the time. And the other half you are trying to figure out which tools to use for what job or task. Even deciding whether to use Microsoft Teams, Groups, SharePoint, or Communication site can bring on a case of analysis paralysis.

When tasked with managing an internal or external project, you may run into a few issues:

  1. First, you may want to find out if a Team or a SharePoint site for the project already exists.
  2. If the workspace doesn’t exist, you will need to make a decision on whether you should create one. Then decide whether a Team, a Group, or a SharePoint site will best satisfy your needs.
  3. Identify whether you should create a workspace from scratch, or use one of the out-of-the-box templates.
  4. Identify whether you have the freedom to create a workspace, or whether you have to request SharePoint provisioning from IT.
  5. Come up with a descriptive name that explains the purpose of the workspace and makes it easy to find.
  6. If you are creating a workspace from scratch, you will need to identify, add and configure the apps. They will need to accomplish the goals of the project, yet not overwhelm people who will be collaborating with you.
  7. Locate and add relevant documents to the space to make them easily accessible and findable for the rest of the team.
  8. Security must be a consideration. So you will need to think about the permissions, sharing settings, and adding members to the team.
  9. You may want to think about sharing the responsibility for the workspace with others. Adding other workspace owners may be beneficial.
  10.  If your workspace requests require approval, you may need to add descriptive reasons for the approvers of the workspace.

That is a lot of responsibility to bear, especially if you haven’t completed Microsoft Teams training.

Is there a better way?

So let’s take a closer look at the easy steps involved in requesting a workspace using Orchestry’s provisioning engine.

Step 1. Select a SharePoint or Microsoft Teams template

Orchestry comes with a library of workspace templates, filled with all the right tools and features to get the work done. IT administrators can customize the existing ones or create additional provisioning templates. They can embed them with the right tools, resources, governance, content lifecycle & guest management policies, pre-defined permissions, and other settings.

Every workspace template available to users in the Teams and SharePoint Online provisioning engine has the following indicators:

  • Distinctive name
  • Description
  • The primary goal of the template
  • The intended audience
  • An information tab

All of this helps the users make the right decision on which template is the right one for their needs.

Step 2. Customize your Teams or SharePoint template

Once you select the template, you can customize it to uniquely meet your exact needs. This includes adding links to specific features:

  • Asana project
  • Calendar
  • Charts
  • Countdown timers
  • Risk register
  • Quick links to the wiki
  • Product lists or description pages
  • Photo galleries and more.

Next, you will be able to customize your workspace with the right documents. Your IT team may have already embedded the workspace template with suggested documents for this type of template. All you have to do is select the ones you would like to include as part of your new workspace.

Step 3. Generate details for your new Team or SharePoint site

Next, you will need to provide some additional details about your workspace to make it easy to find.

As part of Orchestry’s core Microsoft 365 Governance functionality, the IT administrators have the ability to create certain metadata fields. When they are filled, they will be automatically added to the name of the new workspace. For example, you can select your location, division, and even department.

The unparalleled feature of Orchestry is an automatic duplicate scanner. When you input the name of your new workspace, along with the metadata fields, Orchestry will scan all other workspaces. It will notify you of any potential duplicates, which you can assess and decide whether you need to continue with the Team or SharePoint Online site provisioning request.

Step 4. Configure Microsoft Teams channels and permissions

As part of the workspace template, you may already have a list of channels suggested, however, you can configure additional ones based on the specific communication needs.

Depending on the nature of the template, and its sensitivity level, the sharing permissions may have already been predetermined for your workspace by the IT team. The workspaces can either be private (only accessible by members of the workspace), public (open to all members of the organization to access) or have guest access enabled (so it can be shared with collaborators from outside of your organization).

To avoid ownerless and memberless workspaces, and to help you share the responsibility for managing the workspace, your IT team may have preconfigured the minimum required number of owners and members, so you will need to add additional owners and members to the new workspace.

Step 5. Do the final review and request Microsoft Teams or SharePoint provisioning

As the final step, Orchestry will compile all of the details of the workspace you are creating on one single page for a final once-over before submitting it for provisioning. Make sure that you are happy with the name, the document templates, and features, the channels, and sharing permissions.

If you want to make edits to any of the sections, you can simply hit the pencil button, instead of backtracking. When you are ready, click “Yes, I’m done”.

Some templates require review and approval by administrators before the new SharePoint site or Team is provisioned. Others don’t, and you will be able to start using your shiny and fully configured workspace in minutes.

If approval is required, the administrator/approver will receive the notification and will be able to review the details of your workspace, and either provide feedback which will be sent to you or provision Microsoft Teams or SharePoint at once. Having the full context of the workspace on hand, the approvers are able to make educated decisions on whether the workspace requested satisfies the business needs perfectly and make edit suggestions if something is missing.

Information Collection & Access

Orchestry acknowledges that you have the right to access your Personal Information. If requested to remove data we will respond within a reasonable timeframe.

We may transfer Personal Information to companies that help us provide our service, such as those organizations as part of our Global Partner Alliance. Transfers to subsequent third parties for the sole purpose of responding to requests from Websites in the appropriate geography service territory.

“Personal Information”
This refers to any information that you voluntarily submit to us and that identifies you personally, including contact information, such as your name, e-mail address, company name, address, phone number, and other information about yourself or your business. Personal Information can also include information that you enter into on the Websites, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we acquire from service providers.

“Navigational Information”
This refers to information about your computer and your visits to this website such as your IP address, geographical location, browser type, referral source, length of visit and pages viewed.

We use Navigational Information to operate and improve the Websites. We may also use Navigational Information alone or in combination with Personal Information to provide you with personalized information about Orchestry.

Information About Children

The Websites are not intended for or targeted at children under 13, and we do not knowingly or intentionally collect information about children under 13. If you believe that we have collected information about a child under 13, please contact us at hello@orchestry.com, so that we may delete the information.

Information Usage

We use the information we collect only in compliance with this Privacy Policy.

In addition to the uses identified elsewhere in this Privacy Policy, we may use your Personal Information to: (a) improve your browsing experience by personalizing the Websites; (b) send information to you which we think may be of interest to you by post, email, or other means; (c) send you marketing communications relating to our business.

We will never sell your Personal Information to any third party. However, we may share or disclose your Personal Information as follows:

To review the user information that you have supplied to us.
To request that we correct any errors, outdated information, or omissions in user information that you have supplied to us.
To request that your user information not be used to contact you.
To request that your user information be removed from any solicitation list that we use.
To request that your user information be deleted from our records.
To opt out of being solicited by Orchestry or third parties.

Retention of Personal Information

We retain Personal Information that you provide us as long as we consider it potentially useful in contacting you our services, or as needed to comply with our legal obligations, resolve disputes and enforce our agreements, and then we securely delete the information. We will delete this information from the servers at an earlier date if you so request, as described in “Unsubscribe from Communication” below.

Customer Testimonials and Comments

We post customer testimonials and comments on our Websites, which may contain Personal Information. We obtain each customer’s consent via email prior to posting the customer’s name and testimonial.

Security of your Personal Information

We use a variety of security technologies and procedures to help protect your Personal Information from unauthorized access, use or disclosure. We secure the Personal Information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use or disclosure.

Social Media Features

Our Websites include Social Media Features, such as the Facebook Like button and Widgets, such as the Share This button or interactive mini-programs that run on our sites. These features may collect your IP address, which page you are visiting on our sites, and may set a cookie to enable the feature to function properly. Social Media Features and Widgets are either hosted by a third party or hosted directly on our Websites. This Privacy Policy does not apply to these features.  Your interactions with these features are governed by the privacy policy and other policies of the companies providing them.

External Websites

Our Websites provide links to other websites. We do not control, and are not responsible for, the content or practices of these other websites. Our provision of such links does not constitute our endorsement of these other websites, their content, their owners, or their practices. This Privacy Policy does not apply to these other websites, which are subject to any privacy and other policies they may have.

Public Forums

We offer publicly accessible blogs, message boards and community forums. Please keep in mind that if you directly disclose any information through our public message boards, blogs, or forums, this information may be collected and used by others. We will correct or delete any information you have posted on the Websites if you so request, as described in “Opting Out and Unsubscribing” below.

International Transfer of Information

To facilitate our global operations, we may transfer and access Personal Information from around the world, including the United States. This Privacy Policy shall apply even if we transfer Personal Information to other countries.

Corporate Events

Log Files

Clear Gifs (Web Beacons/Web Bugs)

We employ a software technology called clear gifs (a.k.a. Web Beacons/Web Bugs), that help us better manage the Website by informing us what content is effective. Clear gifs are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of Web users.  In contrast to cookies, which are stored on a user’s computer hard drive, clear gifs are embedded invisibly on Web pages or in emails and are about the size of the period at the end of this sentence. We use clear gifs in our HTML-based emails to let us know which emails have been opened by recipients.  This allows us to gauge the effectiveness of certain communications and the effectiveness of our marketing campaigns. Advertising

We partner with a third-party ad network to either display advertising on our Web site or to manage our advertising on other sites.
